Travel Administrator – Fixed-Term (50%)

About the role

The Travel Administrator manages travel arrangements for MSF International staff across multiple locations, replacing the former Travel Referent. The role coordinates with finance, procurement, partner sections, decentralized hubs, the Global Procurement Unit and external suppliers such as AMEX travel agency.

Key responsibilities

• Coordinate flight, train, bus, and accommodation bookings while ensuring compliance with the MSF Travel Policy.
• Review travel requests for completeness, accuracy and policy adherence.
• Provide operational and administrative support to travellers throughout the travel process, including visa assistance and documentation guidance.
• Respond to travel‑related queries and maintain up‑to‑date travel records for monitoring and reporting.
• Identify cost‑effective, sustainable travel options that balance duration, comfort and environmental impact.
• Promote responsible travel practices and escalate any policy irregularities.

Required profile

• Secondary education with relevant administrative training or equivalent professional experience.
• Minimum 2 years of experience in travel administration, coordination or travel agency services, preferably in an international or humanitarian context.
• Strong knowledge of international travel requirements, visas and travel documentation.
• Fluency in English; French is an advantage.
• Excellent organisational skills, attention to detail and ability to manage multiple requests.
