About the role
OWAY, a family‑owned professional agricosmetics brand, is seeking a Customer Service & Administration Specialist to ensure smooth customer relations, order processing and internal administrative activities. The role bridges customers, internal teams and international stakeholders to deliver a high‑quality experience.
Key responsibilities
- Handle customer inquiries by phone and email promptly and professionally.
- Enter, verify and monitor orders and customer data in SAP or similar systems.
- Prepare quotations, product sheets and promotional materials.
- Track and resolve customer complaints and non‑conformities.
- Coordinate with headquarters on product availability, promotions and commercial policies.
- Maintain customer records and generate basic sales and service reports.
- Manage invoicing processes for salons and support HR with administrative tasks.
- Issue invoices, extract key financial data from SAP, and assist customers with invoicing, payments and disputes.
- Monitor scheduled payments, follow‑up on overdue accounts and reconcile client statements.
Required profile
- Bilingual fluency in French and English.
- Strong organizational skills with high attention to detail.
- Excellent written and verbal communication abilities.
- Ability to juggle multiple tasks in a dynamic environment.
- Proactive, problem‑solving mindset and team‑oriented attitude.
Required skills
- Experience using SAP or comparable administrative systems.
