About the role
Ambienta, a European investment manager focused on sustainable environmental champions, is seeking an Office Manager to provide essential administrative support to senior stakeholders and ensure smooth day‑to‑day operations across its international offices.
Key responsibilities
- Manage calendars, schedule meetings and coordinate complex appointments, including events with portfolio companies.
- Organise travel arrangements, itineraries and accommodation for staff and visitors.
- Screen and handle communications such as emails and phone calls, ensuring timely responses.
- Draft correspondence, meeting minutes and presentations with high accuracy.
- Maintain client and stakeholder relationships with professionalism and discretion.
- Support project management, track deadlines and priorities.
- Prepare expense reports, invoices, purchase orders and perform light bookkeeping tasks.
- Collaborate with internal teams (IT, HR, Finance) to facilitate operations, including recruiting support and IT issue delegation.
- Coordinate logistics for internal and external meetings, including room bookings, catering and equipment.
- Welcome visitors, partners and ensure smooth meeting preparation.
- Assist with vendor management and follow‑up on service agreements.
Required profile
- Organised, proactive and adaptable with experience in structured, international environments.
- Comfortable working in fast‑paced, demanding settings, preferably within finance or banking.
- Strong discretion, reliability and problem‑solving abilities.
- Excellent communication skills and ability to anticipate senior stakeholder needs.
