About the role
Alta Ares is seeking an Office & Operations Manager to become the operational backbone of its Paris headquarters. You will ensure that engineers, executives, military partners and other stakeholders can work efficiently by overseeing facilities, handling administrative tasks and delivering a professional experience for employees and visitors.
Key responsibilities
- Own day‑to‑day office operations, including facilities, supplies, equipment and workspace organization.
- Manage relationships with landlords, service providers and suppliers, ensuring quality and cost efficiency.
- Coordinate maintenance, deliveries, office improvements and workspace projects.
- Maintain a safe, professional environment aligned with company culture and standards.
- Serve as the first point of contact for visitors, partners and institutional stakeholders, handling meeting rooms, access, demonstrations and executive visits.
- Manage incoming calls, mail, deliveries and courier services.
- Support the CEO and leadership team with travel arrangements, expense management, scheduling and logistics.
- Organise internal meetings, off‑sites and operational projects, and assist with presentations and briefings.
- Handle onboarding logistics for new hires, including equipment, office access and workspace setup.
- Maintain records of contracts, suppliers and administrative documentation.
- Support finance operations through invoice tracking, purchase order management and supplier coordination.
- Help design and improve internal processes, tools and workflows as the company scales.
Required profile
- Proactive and highly organized with strong attention to detail.
- Excellent communication skills and ability to interact with technical, executive and military audiences.
- Comfortable managing budgets, logistics and vendor relationships.
- Ability to maintain a professional, secure and welcoming office environment.
