Sales Administration Assistant (ADV Assistant)

About the role

Fabster, a specialist in food flavours within the Tradebe Life Sciences group, is seeking a motivated Sales Administration Assistant to support its commercial operations in an international environment. The role focuses on delivering high‑quality administrative support to sales teams and ensuring smooth execution of export and domestic sales processes.

Key responsibilities

• Manage and follow up sales administration activities, supporting sales managers with customer portfolio management.
• Prepare and send commercial offers, assist in pricing, and process orders.
• Coordinate shipments, logistics, and export documentation (Incoterms, customs, letters of credit).
• Handle invoicing, payment follow‑up, and maintain customer files and certifications.
• Update pricing and customer data in internal systems, manage sample requests, and archive documentation.
• Maintain product and sample records, manage regulated flows such as alcohol tracking and DEB/Intrastat declarations.
• Participate in inventory processes and support quality system activities, including handling customer non‑conformities and satisfaction surveys.

Required profile

• Bac +2 or equivalent, or at least three years of experience in a similar sales administration role.
• Strong IT proficiency, especially with Microsoft Office and ERP systems.
• Experience in export sales administration and good knowledge of international trade procedures (Incoterms, customs documentation).
• Fluent in English; Spanish is a plus.
